The short version
We collect what we need to record your meetings, write the minutes and track action items, and nothing more. You choose whether your meetings stay on your Mac or sync to our cloud. We don't sell your data, we don't use it for advertising, and we don't use your meetings or calendar data to train AI models.
Who we are
meeting.radar is a product of Stingray, based in Riyadh, Kingdom of Saudi Arabia ("we", "us"). This policy covers the meeting.radar Mac app, the web app at app.meetingradar.ai, and this website. When your company runs meeting.radar on its own server, your company controls that data and its own policies apply to it; we have no access to it.
What we collect
Account information
Your name and email address. If you sign in with Google or Microsoft, we receive your name, email address and profile ID from them. If you set a password, we store only a secure one-way hash of it, never the password itself.
Calendar information
If you connect a Google, Microsoft or Mac calendar, we read your events: title, time, location, meeting link, organizer, attendees and description. We use them to show your schedule, remind you before meetings, name recordings and know who attended. If you approve a follow-up meeting or ask us to remove a meeting, we create or delete that event in your calendar on your behalf. We never change your calendar without an action from you.
Meeting content
When you choose to record, we capture audio from your microphone and from the calling app on your Mac. If you turn on screen recording, we also capture a video of your screen and snapshots of what is shown on it. From these we produce a transcript, the text on screen snapshots, the minutes, decisions and action items. You can also add notes, attendees and edits yourself.
Technical information
Basic information needed to run the service and fix problems: device name, app version, sign-in times and error logs. We don't use advertising trackers or sell analytics data.
Where your data is kept
You choose this during setup and can change it later in Settings:
| Option | Where data is stored |
|---|---|
| On your Mac only | Everything stays on your Mac, inside your macOS user account. Nothing is sent to our servers. |
| meetingradar.ai cloud | Minutes, action items and meeting details sync to our servers, hosted by DigitalOcean in Frankfurt, Germany. Audio and screen recordings are uploaded only if you turn that on; otherwise they stay on your Mac. |
| Your company's server | Data is stored on the server your company runs. We don't have access to it. |
How we use your information
- To record meetings when you ask us to, and to turn them into transcripts, minutes and action items.
- To show your calendar, remind you before meetings and keep your meetings in sync across your devices.
- To send the minutes or reminders to attendees, only when you choose to send them.
- To keep your account secure and to fix problems.
- To tell you about important changes to the service.
We don't use your information for advertising, we don't sell it, and we don't build profiles of you for anyone else.
AI processing
Writing minutes needs an AI model. You choose which one in Settings:
- On your Mac. The transcription and the minutes are produced by models running on your own computer. Nothing about the meeting leaves the device.
- Claude by Anthropic. The transcript, meeting details (such as the title and attendee names from your calendar) and any screen text are sent to Anthropic's API to write the minutes. Anthropic processes this under its commercial terms, which do not allow it to use this data to train its models.
We never use your meetings, transcripts or calendar data to train or improve AI models, whether ours or anyone else's.
Google user data
If you connect a Google account, meeting.radar asks for access to your basic profile (name and email) and to Google Calendar (to read your events, and to create or delete events when you ask it to). We do not request access to Gmail, Drive or any other Google data.
meeting.radar's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In practice this means:
- We use Google data only to provide and improve the features you see in meeting.radar.
- We transfer it to others only when needed to provide those features (for example, to the AI model you chose to write the minutes), to comply with the law, or as part of a merger or sale with the same protections in place.
- We don't use it for advertising, we don't sell it, and we don't use it to train AI models.
- No person at Stingray reads your Google data unless you ask us to for support, it is needed for security or legal reasons, or it has been made anonymous.
You can disconnect your Google account at any time in meeting.radar (Account → Calendars & sign-in), or remove our access from your Google Account permissions page.
Microsoft user data
If you connect a Microsoft 365, Outlook or Hotmail account, we ask for your basic profile and access to your calendar, to read your events and to create or delete events when you ask. The same rules apply as for Google: used only to provide meeting.radar's features, never sold, never used for advertising or AI training. You can disconnect it in meeting.radar or from your Microsoft account's app permissions page.
Who we share it with
We use a small number of service providers who process data only on our instructions:
| Provider | What for |
|---|---|
| DigitalOcean | Hosting the meetingradar.ai cloud (Frankfurt, Germany) |
| Anthropic | Writing minutes, only if you choose Claude as the AI model |
| Google, Microsoft | Sign-in and calendar, only if you connect those accounts |
| Your email provider | Sending minutes to attendees, only when you choose to send them |
We may also disclose information if the law requires it, or to protect the safety of our users or the public. If Stingray is ever involved in a merger or sale, your information would only move under this policy or one that protects you just as well, and we would tell you first.
Who can see your meetings
Each meeting is private by default: only you, and the attendees of that meeting who have a meeting.radar account, can see it. You can share it with more people, or with your whole team, and change that at any time. In a company hub, the hub's administrators can manage accounts on that hub.
Recording and consent
You are responsible for telling the people in your meetings that you're recording, and for getting their consent where the law requires it. Recording rules differ between countries. We recommend saying so at the start of every recorded meeting.
Keeping and deleting data
- We keep your meetings until you delete them. Deleting a meeting in the app removes its recording, transcript, minutes and action items, and if you choose, the calendar event too.
- If you disconnect a calendar, we delete the tokens that gave us access and stop reading that calendar.
- You can ask us to delete your whole account at any time by emailing us. We delete your data from our active systems within 30 days, and from backups within a further 60 days.
- Data kept only on your Mac is under your control: deleting it there, or uninstalling the app and its data folder, removes it.
Security
All connections to meetingradar.ai are encrypted with HTTPS. Passwords are stored only as secure hashes. Access tokens for Google and Microsoft are kept on the server and never shown in the browser. Our servers are reachable only through secure, key-based administrator access. No system is perfectly secure, but we work hard to protect your data, and we'll tell you promptly if a breach affects it.
International transfers
The meetingradar.ai cloud is hosted in Germany, and AI providers you choose may process data in other countries, including the United States. We transfer data only as needed to provide the service, with protections in line with the Saudi Personal Data Protection Law and other applicable laws. If your organization needs data kept in a specific country, the "On your Mac only" or "Your company's server" options keep it where you decide.
Your rights
Depending on where you live, including under the Saudi Personal Data Protection Law and the EU GDPR, you can ask us to:
- tell you what information we hold about you and give you a copy,
- correct information that is wrong,
- delete your information,
- stop or limit how we use it, or move it to another service.
Email us and we'll reply within 30 days. You may also complain to your local data protection authority.
Children
meeting.radar is a work tool and is not meant for children under 16. We don't knowingly collect information from them.
Changes to this policy
If we make meaningful changes, we'll update the date at the top and let you know in the app or by email before they take effect.
